This statement is designed to help you understand how your personal data is processed by the Isle of Man Insurance Association and why.

Personal data is data which relates to you when you can be identified from that data or from that data when combined with other information which is in the possession of or is likely to come into the possession of the Isle of Man Insurance Association. The definition of personal data includes any expression of opinion about you and any indication of the intentions of the Isle of Man Insurance Association or any other person in respect of you.

What personal data is processed and how is it used?

Representatives of member firms

If you are a representative of a member firm, we will process information about you such as your name, contact details and which firm you represent for the purposes of keeping you updated on industry developments and for sharing information with you about relevant events. We will also use this information for the purposes of invoicing for annual membership fees and for maintaining accounting records.

Guests at events

If you attend an event that the Isle of Man Insurance Association is providing, we will process information about you such as your name, contact details, firm name and dietary requirements to assist in organising the event and recording your attendance at it. We may also use your contact details to send you information about other relevant events that you may be interested in but you will always have the option of not receiving these communications.

Committee members

If you are a member of an Isle of Man Insurance Association Committee, we will process information about you such as your name, contact details, your attendance at meetings and any actions attributed to you. This information will be recorded in meeting minutes and may include any opinion expressed by you during the course of the meeting.

Photographs and a short biography of the Isle of Man Insurance Association’s officers are included on the public pages of the Isle of Man Insurance Association’s web site.

Supplier of services to the Isle of Man Insurance Association

If you supply services to the Isle of Man Insurance Association, we will process information about you such as your name, company name and bank account details in order to obtain services from you and to pay you for those services. If you are a speaker at one of our events, we may also process information about your travel arrangements and you should be aware that photographs and information about you might be used for publicity purposes by us or by delegates at events.

Where is the data stored?

All of the data that we process about you is held in paper form and/or electronically. The data may be held by various Committee members and/or the Isle of Man Insurance Association’s Secretary but will only be used for the purposes described above. You should be aware that member and officer information is available from the public pages of the Isle of Man Insurance Association’s web site and that minutes of meetings are available from the members’ area.

Who can see the information?

Personal data in relation to member firm representatives, guests at events and committee members will generally only be available to those Isle of Man Insurance Association representatives who require it. It may be shared with suppliers, for example caterers in relation to an event or anyone who is assisting with accounting functions. It will not, however, be made available to any third party so that they can market goods and services to you.

Minutes of committee meetings are held in the members’ area of the web site and are, therefore, visible to any member who can access that part of the web site.

How long is the data kept for?

We will maintain records and data to comply with our statutory and legal responsibilities as well as what we deem to be reasonable practice where there is no record keeping period set down in law or other rules. We will destroy data in line with these retention periods and our commencement date for any retention period will normally be when a person is no longer associated with the Isle of Man Insurance Association or a member firm.

Your rights

If you wish to see the data processed about you by the Isle of Man Insurance Association, please contact secretary@imia.im

You have additional rights under the Isle of Man data protection legislation and regulation such as the right to rectification of incomplete data and the right of erasure of data.

An important right that you have is the right to object to processing. This right applies where, after careful consideration, we have decided that is in the legitimate interests of the Isle of Man Insurance Association to process data about you. We process data for our legitimate interests when we use your data to record that you are a representative of a member firm, to record that you have attended an event and to record information about you in the minutes.

You have the right to receive the personal data you provide to us in a structured, commonly used and machine readable format and have the right to transmit this data to another controller, without hindrance from us.
